How to be productive in 4 steps


We are all too busy these days that it is impossible to take a break from our work. We need to learn ways in which we can be more productive and focus on the task at hand without feeling overwhelmed.

We have all heard about the 20/80 rule – 80% of your day should always be dedicated to work and only 20% of your time should be spent on activities unrelated to your job. But what does it really mean?

In order for you not to feel overwhelmed, you have to find a good balance with your workload so that you don’t feel like you are working too much or too little.

The first step to becoming more productive is to try a time-tracking app. These apps allow you to keep track of how much time you spend on various tasks and helps you better understand why some things are taking longer than they should. Reward yourself with a treat when you’re finished:

When you meet your deadlines, treat yourself to a reward of your choice. This can be anything from a movie night with friends to a relaxing spa day. It is important to remember that these are temporary rewards and must be balanced with other tasks.

Prioritize what needs to get done and make sure that it is getting done. Do not spend too much time on unimportant tasks or the ones you don’t like doing, focus on the ones you enjoy or find rewarding. Getting the work done within the deadline can be in itself rewarding and there’s nothing wrong with treating yourself too in the end as a way of thanking yourself of the efforts and hard work.

If you feel you get distracted with different thoughts and activities, try keeping an eye on the reward and it will motivate you to do more work and finish earlier so that you can enjoy your promised treat. This could be as little as a cocoa drink, a hot meal or you favourite meal.

Another type or motivating item could be something in your workspace that keeps your attention focused on what needs to get done now or even your purpose in life as a whole. This could be a photo of your family, or something else that makes you happy and reminds you why working is important.

It could also be a picture of a destination you’re saving money to go on holiday to. Make sure it’s something small enough where it won’t take up too much space.

Set a schedule:

To be more productive, it’s important to set a schedule for yourself; to focus on what needs to get done. The key is knowing when you need a break. Take breaks throughout your day and be sure not to stay in one concentrated area for too long. Take short breaks or turn off your phone if it’s constantly buzzing and make sure to have some quiet time every day as well.

Set a schedule for yourself and stick to it. Don’t try to multitask or do two things at the same time. Instead, focus on one task at a time – be it writing, researching or working.

First, create a list of all the tasks that need to be accomplished that day. Second, schedule all the tasks in this list into your day so each task gets sufficient time to be completed. Third, don’t think about how much time each task will take but just get started with the task by focusing on one small part at a time. Fourth, as soon as one task is completed take another from your list and start working on that one until everything has been completed.

It is important to have short-term goals and know what you want to achieve. Don’t think about the end result, just focus on the next step in achieving your goal. If you have a clear idea of what you want to accomplish during the day, put time constraints on yourself and set a deadline for each short-term goal you have.

This will make it harder for yourself to procrastinate by setting small time windows to achieve all your short-term goals to in the end reach the final goal go getting the work done and probably before the set deadline for it.

When you are overwhelmed with tasks, it can be easy to forget some of them or not put in the necessary work in order to complete them. But if you have a short-term goal that spurs motivation and keeps you on track, then it can help break down larger tasks into smaller parts that are easier to manage.

Stop yourself from getting distracted:

As much as we may not want to admit it, we can’t always work with a positive mindset. Sometimes, the pressure of deadlines makes us think that we need to push ourselves harder than usual and that is when we get distracted. One of the keys to being more productive is setting a schedule and sticking with it, like mentioned before, so you don’t have time for distractions.

We are now living in the age of information overload where our lives are filled with endless distractions from social media notifications, emails, and texts. If you want to be more productive today then make sure you put your phone on airplane mode and avoid distracting social media platforms during the day.

Make a list of tasks that you need to accomplish throughout your day so there’s no room for procrastination or getting sidetracked by what’s going on in the world or around you. Eliminate distractions from your life by shutting off all electronics except for computers, phone, and tablet when you sit down to work every day.
